To 55-58K Receptionist/Internal Services Assistant, Private Debt JO# 13649
Report to the Executive Assistant to SVP of Principal Debt and Credit Investments.
Duties: Greet staff and guests in a professional manner at the main reception area. Answer the main phone line, transfer calls and/or take messages. Primary contact for visiting colleagues in addressing their requests for office and/or conference room space, including: securing a room via the conference room booking system; registering guests’ names with Security and creating Wifi passwords, setting up video and/or audio conferences, working with the relevant IT staff in resolving technical logistics, coordinating catering services, ordering food, setting-up, clearing and preparing conference rooms pre- and post-meetings, ensuring receipts are submitted and processed on a timely basis. Provide back-up assistance with Private Debt staff travel and expense processing. Be the primary liaison with building services and point person on all facilities issues (e.g., ensuring coffee machines are clean and in good working order daily, addressing HVAC requests, etc.). Direct deliveries, pick-ups, and coordinate mail drop-offs. Assist with ad hoc projects. Requirements: Associate degree; college degree, an asset; minimum of 3 years of related working experience in a professional environment. Skills: MS Office; proficiency in Outlook, Word, and Excel, a plus; working knowledge of Concur platform, also a plus. Qualities: Understands the value of customer service and professionalism with emphasis on courtesy, integrity and discretion. Responsible, adaptable, possess strong work ethic and pride in work. Able to work independently and as part of a team. Possess strong organizational skills and ability to prioritize/handle multiple requests at once. Bilingual English-French a plus.
Hours/Benefits: Assume 8:30-5:30, non-exempt; comprehensive benefits include health insurance and 401K.
