Description

Job Description/Responsibilities: MUST HAVE A 4 YEAR COLLEGE DEGREE, 2-5 YEARS EXPERIENCE (NON-JUMPY BACKGROUND), POLISHED, ORGANIZED, PERSONABLE, TEAM PLAYER

Support the Administrative Team and CEO’s Executive Assistant on all matters; Work closely with the team in an administrative capacity; Monitor and assist with expense reports; Assist with travel booking for frequent domestic and international travel; Handle high volume of data entry; Welcome and greet visitors and work with Reception; Maintain heavy calendaring; Assist in scheduling and preparing for meetings (both internal and external); Make sure all arranged internal meetings are confirmed & adequate; Prepare for several client-based trips and visits throughout the year (both on-site and abroad); Assist with interview/hiring process; Maintain office supplies & area; Produce documents, reports, and presentations in business format; Organize and file paperwork, documents, and computer-based information; Client-related requests and Ad-hoc projects

Fund Support responsibilities: Prepare and process investment memos; Prepare and process Subscriptions, Redemptions, Trade Tickets, Capital Calls, etc.; Manage and maintain Division’s Investment Pipeline management software system; Investment Committee coordination, minutes and management; Coordinate Quarterly Reporting timeline and updates for company’s funds; Data room organization, upkeep and distribution (post-closing documents); Organize and file paperwork, documents, and computer-based information; Work with Compliance on regulation requirements and SEC updates regarding AID; Weekly Organizational meeting minutes and circulation

Requirements: Prior experience in similar capacity; Bachelor’s degree required; Able to exhibit a high level of confidentiality; Ability to be a team player; Ability to take use initiative and handle tasks with minimal instruction; Excellent interpersonal and organizational skills; Effective oral and written communication skills; Excellent computer skills, including Microsoft Word and Excel; Highly organized and personable with the ability to multitask; Can-do and no task is too small attitude is crucial

Hours/Benefits: 9-5:30 OR 8:30-6 (flex to stay longer if needed), non-exempt, generous bonus, employee contribution to benefits (excellent program), 401K (4% matching), gym membership discount, commuter benefits (employee paid), 15 days PTO, 6 sick days, 2 personal days
