75-90K Exempt Executive Assistant to the 2 Founding Principals JO# 14157
Growing, fast-paced 125pp+ New York office. Provide administrative support to the firm’s two Principals and be responsible for managing scheduling, travel arrangements and meeting logistics; providing general administrative support and leading special projects. The ideal candidate will be outgoing and proactive, have professional office presence and phone manners, complete discretion and poise under pressure, effective written and oral communication skills, excellent attention to detail and the ability to prioritize time-sensitive assignments.
Responsibilities: Manage the schedule and day-to-day business activities of the firm’s two Principals. Make and manage travel arrangements. Heavy calendar management. Answer phones, route calls and take messages. Organize meetings of senior-level staff and internal events including scheduling, preparing agendas and materials, taking notes, and coordinating follow up. Provide personal support. Communicate with clients on behalf of the firm. Handle special projects relating to firm management or operations on behalf of the firm’s two Principals and other senior leadership. Prioritize handling of correspondence for firm’s two Principals and interaction with firm clients and employees on their behalf.
Qualifications: Strong experience managing the schedule senior-level staff in a fast-paced environment. Outgoing, friendly demeanor. Exceptional problem solving and research skills. Strong calendar management experience. Strong writing and meeting minutes experience. Strong proficiency with MS Office, including Outlook, Word, Excel and PowerPoint, LexisNexis and social media platforms. Strong organizational skills and attention to detail. Ability to exercise discretion, independent judgment and take the initiative. Ability to handle confidential information with discretion. A sense of humor.
Hours/Benefits: 8:30/9:00am-6:00pm; very little OT. 100% paid health benefits for employee and family; 401K w/ 4% match, vested immediately; flexible PTO.
