90K Executive Assistant to the Principal and Secretary to the Board of Trustees         JO# 14190

The Executive Assistant reports directly to the Principal, providing administrative support and assistance in a professional and confidential setting, interfacing with the entire school and extended community in a manner guided by the School’s Mission Statement. The position requires positive energy, commitment, and the ability to manage the many complexities of Head of School’s Office. The responsibilities resemble those of assisting a Corporate CEO at an academic level.

  • 6+ years prior experience in assisting top-level executive/CEO/principal

Support and Assist the Principal

  • Provide a welcoming and helpful atmosphere in the Principal’s office
  • Manage, oversee and coordinate Principal’s schedule and Google calendar
  • Schedule all meetings with administrators, faculty, staff, students, parents, and other constituents
  • Coordinate solicitation and cultivation meetings with the Office of Institutional Advancement
  • Screen phone calls: take messages, forward to Principal, assist or re-route as appropriate
  • Handle all incoming and outgoing correspondence
  • Maintain easily accessible correspondence files, and other files as necessary and appropriate
  • Prepare and distribute agenda for weekly Administrative Committee meeting
  • Prepare and distribute Principal’s “Weekly Update” pushpage through the website to all employees
  • Register principal for all conferences; coordinate all travel and lodging arrangements
  • Maintain and reconcile receipts for expenses
  • Assist with searches to replace administrators, including coordinating search committee meetings and arranging schedules for visits
  • Keeper of all institutional documents such as Principal’s files and trustees records

Principal’s Office Administration

  • Submit requests and maintain files for purchases and payments
  • Maintain Principal’s office Personnel files
  • Coordinate and compile information for yearly Basic Educational Data System (BEDS) report
  • Maintain School calendar room reservations; liaise with all constituencies in use of shared spaces

Board of Trustees Secretary Duties

  • Serve as minute-taker at all Board meetings
  • Prepare and e-mail agenda with minutes and other materials for monthly meetings
  • Schedule and manage sub-committee meetings
  • Reserve room and order refreshments for monthly meetings
  • Maintain files on Oxygen and hard-drive for all meeting minutes and other materials
  • Update and distribute Board of Trustee materials including contact sheet and terms of service, and sub-committee personnel and contact information annually
