Spanish Speaking a plus. Need 3-7+ years' experience in a busy, challenging environment. Will handle very busy calendar coordination, heavy and intricate travel arrangements, and many other responsibilities.
Nature and Scope of Position:
This position reports directly to the President
This position requires the ability to work both independently and as a team member and to organize and complete multiple assignments with precision and, frequently, quick turnaround.
This position requires frequent contact and coordination with all levels of the principal stakeholders including its staff, and grantees,as well as the external community.
This position requires workweeks in excess of 40 hours and some after-hours. Travel is required on occasion.
Maintain and organize the constantly changing calendar, meeting and extensive travel schedule.
Map out travel, client and new biz meetings far into the future to best leverage principals’ time. Schedule meetings building strong relationships with our clients and their assistants.
Interact with stakeholders in relation to scheduling, planning and staffing of meetings, retreats, gatherings, as appropriate.
Serve an ambassadorial role, projecting an image that is consistent with the firm both internally with staff
Ensure coordination between principals
Draft correspondence, answer phones, coordinate mailing and handle inquiries and requests from internal and external sources on his behalf.
Provide logistical support for meetings, retreats, and team meetings.
Coordinate the accurate and timely assembly of travel itineraries
Manage, maintain, and organize confidential materials including a filing system of electronic materials in online database
Prepare and assemble reports, documents and other publications, as appropriate.
May manage and implement special projects, as assigned.
Minimum Experience: 3-7 years in high-level executive or senior leadership administrative support positions.
Minimum Education: Higher education is preferred, but not required.
Language: Basic proficiency in Spanish strongly preferred
Experience with MS Office (Word, Excel, and Outlook) is required.

ability to prioritize, ability to coordinate with others, and meet deadlines.

Experience creating or maintaining a database a plus.

success in this position. Hrs. 10-6, flexible for OT and 24/7 access, and ability to travel.
